Real estate CRM
Every client's brief, matched against every listing you hold.
A client tells you what they want once, on a call or in a WhatsApp message, and it usually ends up in a notes app. Key Deal keeps the whole brief on the client and checks it against every listing, so the right property is at the top the moment it comes in.
4 listings fit. New-listing email: on.
1 brief
Everything the client asked for
Buy or rent, budget, emirate and areas, unit types, bedrooms, ready or off-plan, payment plan and investment goal.
Every listing
Checked against it
Each match says what fits and exactly what each of the others misses, so you know what to say before you send.

Adding or importing someone you already have is refused, whether the email or the phone number is written differently.
The whole brief, kept on the client
Write down what the client wants in the words of the market, not in a free-text note nobody reads twice. The brief drives every match, alert and recommendation.
- Buying or renting, budget range, emirate and the areas they named
- Property types, bedrooms from studio to 7 or more, ready, off-plan or either
- Sales status they will consider (upcoming, EOI, open market) and the payment plans they want
- Investment goal, developers they prefer or avoid, and whether a nearby area is fine
4 listings fit. New-listing email: on.
Matching that tells you why
Every listing is scored against the brief, and the ones that fit come first. Where a listing misses, the reason is written beside it: over budget, one bedroom short, the wrong completion.
- A recommendation never crosses an emirate the client named
- Rentals are only matched for tenants and sales only for buyers
- Send a match from the same screen with the client's own link
- Ask Claude for the best three for any client and get the same answer
- Marina Gate 2 · 2BRFits
- Sea Cliff · 2BR off-planHandover after 2027
- JLT Cluster V · 1BROne bedroom short
New listings, emailed to the right clients
Switch alerts on for a client and, when a listing that fits their brief goes live, it goes into one evening email to them, sent from you and on their own link. Alerts are off until you turn them on.
- Up to ten new properties in one email, never one email per listing
- Every link is the client's tracked link, so their opens show on your dashboard
- One-click unsubscribe, and a client who opts out cannot be signed back in by anyone
- Off for imports and website enquiries until you decide
- Off-plan 2 bed under 2M2 new
- Ready villas, 4 bed or moreNo change
Your own fields, your imports, your enquiries
Add the questions you ask every client, bring your existing list in from a spreadsheet, and let enquiries from your website arrive as clients with their brief already written.
- Custom fields: text, numbers, amounts, dates, Yes/No and choices, with filters and Excel download
- Required fields asked when a client is added, and up to three shown on each pipeline card
- CSV import with a preview and duplicate checks against everyone you hold
- Website enquiries from the contact form and the listing assistant land as clients in one inbox

How to start
Three steps, and it is yours.
Add or import your clients
Type one in, paste a spreadsheet, or let website enquiries arrive on their own.
Fill in what they want
Budget, areas, types and plans. The more of the brief you keep, the better the match.
Send the matches
Open the client, read why each listing fits, and send the ones that do on their own link.
Or say it to Claude
- “Add Fatima, buying a 2 bedroom off-plan in Business Bay under 2.5M, 050 123 4567”
- “Find the best three listings for Ahmed and tell me what each one misses”
- “Which of my buyers want a post-handover payment plan?”
What makes Key Deal different from a general CRM?
It knows what a UAE property brief is. A client record holds budget, emirate and areas, unit types, bedrooms, ready or off-plan, sales status, payment plan and investment goal, and every listing is matched against it. A general CRM keeps a name, a phone number and a notes field.
Can I import the clients I already have?
Yes. Upload a CSV and Key Deal previews every row before anything is saved. A row whose email or phone belongs to someone you already have is refused, and phone numbers are compared however they are written, so 050 777 6655 and +971 50 777 6655 are the same person.
Do clients get emails without my say-so?
No. New-listing alerts are off for every client until you switch them on for that client. When they are on, a client gets one evening email with what is new for them, from you, and can unsubscribe in one click.
Can we add our own fields to a client?
Yes. Add fields such as passport received, EOI amount or next follow-up, as text, numbers, amounts, dates, Yes/No or a list of choices. They can be required when a client is added, filtered on, shown on the pipeline board and downloaded to Excel.
Who sees which clients at an agency?
On the agency plan a realtor sees only the clients assigned to them, whatever listings they work on. Owners and admins see everyone and assign clients to the realtor who looks after them; a field can also be kept for owners and admins only.
Where do website enquiries go?
Into Inquiries, an inbox in your dashboard, and onto your clients list as a new client with the brief they gave. They come from the contact form on your website and from the assistant on your listing pages, and a lead that came through a realtor's link goes to that realtor.
